Eventzilla Corporation (“Eventzilla”, “Tribely”, “we”, “us”, or “our”) values your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect Personal Data when you access or use Tribely, including our website located at https://www.tribely.net, the Tribely application, membership management tools, member portals, membership forms, renewal workflows, payment features, email and communication features, integrations with Eventzilla, support services, and any related services we provide through Tribely (collectively, the “Service”).

For the purposes of this Privacy Policy, a “User” or “you” means any person or entity that accesses or uses the Service, whether or not registered for an account. This includes association administrators, organization owners, staff users, contractors, agencies, members, prospective members, guests, event attendees, and other individuals who interact with Tribely.

2. Who uses Tribely

Tribely is a membership management platform for associations, clubs, communities, nonprofits, professional groups, member-based businesses, and other organizations. It helps organizations manage members, membership plans, renewals, payments, communications, member portals, and related workflows.

Different types of users may interact with Tribely in different ways.

2.1 Organizations and account owners

An “Organization” is a customer that uses Tribely to manage members, memberships, renewals, events, communications, and related activities. An Organization may be an association, club, nonprofit, community, professional body, business, agency, educational institution, or other entity.

Organizations may control their membership application forms, member profile fields, membership plans, renewal settings, member communications, embedded join or renewal buttons, event-related membership rules, and other configuration settings.

2.2 Administrators, staff users, and team members

An Organization may invite administrators, staff users, contractors, agencies, volunteers, or other team members to access or manage parts of the Organization’s Tribely account. These Users may create or manage membership plans, member records, renewals, email communications, reports, settings, integrations, and other Service features.

2.3 Members, prospective members, and guests

A “Member” is an individual whose membership record is managed through Tribely. This may include active members, expired members, pending members, trial members, family members, linked members, prospective members, guests, or other contacts associated with an Organization.

Members and prospective members may provide information directly to Tribely or to an Organization through membership forms, member portals, renewal pages, payment pages, profile updates, event registrations, surveys, support interactions, and related features.

 

3. Personal Data we collect

“Personal Data” means information that identifies, relates to, describes, can reasonably be associated with, or could reasonably be linked to a person, household, or device, depending on the applicable law.

The Personal Data we collect depends on how you use the Service.

3.1 Account and profile data

When you create or update an account, register as an Organization, join an Organization’s team, or use account features, we may collect information such as:

·       name;

·       email address;

·       password or authentication credentials;

·       account identifier;

·       business, association, club, or organization name;

·       role or title;

·       profile photo or avatar;

·       phone number, where provided;

·       billing or account-administration details;

·       preferences and notification settings; and

·       any other information you choose to provide in your account or profile.

3.2 Organization and membership data

When an Organization uses Tribely to manage members and memberships, we may collect or process information such as:

·       Organization name, address, contact details, website, and profile information;

·       administrator, staff, and team-member details;

·       member names, email addresses, phone numbers, and postal addresses;

·       member profile fields and custom form responses;

·       membership type, plan, tier, level, category, status, and renewal date;

·       membership start date, expiry date, cancellation date, and renewal history;

·       application status, approval status, notes, tags, and internal Organization fields;

·       family, group, linked-member, or organization-member relationships, where configured;

·       member portal login and profile-update activity;

·       member subscription, invoice, payment, refund, failed-payment, and renewal data;

·       discounts, coupons, trials, complimentary memberships, and promotional settings;

·       event attendance, member-only access, member pricing, or eligibility data where integrated with Eventzilla;

·       email, newsletter, renewal reminder, and communication engagement data;

·       support requests or member enquiries submitted through the Service; and

·       other information an Organization chooses to collect or manage using Tribely.

3.3 Membership forms, portals, and embedded buttons

Organizations may use Tribely to create membership application forms, join forms, renewal pages, member profile forms, payment pages, embedded join or renew buttons, and other workflows. These forms and workflows may collect information determined by the Organization, including custom fields.

If an Organization embeds a Tribely form, button, or workflow on its own website or another third-party website, that website may also use its own cookies, analytics, tracking technologies, or privacy practices. You should review the privacy notice of the Organization or website where the form or button appears.

3.4 Eventzilla integration and member-only events

Tribely may integrate with Eventzilla to help Organizations offer member-only tickets, member pricing, membership validation, event access controls, attendance tracking, or member-related event workflows.

When an Organization uses Tribely with Eventzilla, we may process information such as:

·       member identity and membership status;

·       membership tier, plan, or eligibility information;

·       event registration and attendance information;

·       ticket eligibility and member-pricing rules;

·       member-only access validation results;

·       guest-to-member conversion information; and

·       related transaction, audit, and reporting data.

The Organization controls how it configures membership-based event access and how it uses the resulting member and attendee information.

3.5 Payment and billing data

If you purchase a paid Tribely plan, membership, renewal, event ticket, or other paid service through Tribely, we may collect or process billing-related information such as name, billing address, subscription plan, membership fee, invoice details, payment status, transaction history, tax information, and other information needed to administer the payment or account.

Payment-card information is provided directly to our payment processing provider. Tribely does not collect or store sensitive cardholder data such as full credit card numbers or card authentication data, except to the extent handled securely by our payment processor on our behalf.

3.6 Communications and support data

If you contact us for support, technical assistance, billing assistance, sales enquiries, demos, complaints, or other questions, we may collect your contact information, messages, attachments, support history, diagnostic data, IP address, browser/device information, and other information you provide or that is needed to respond to your request.

Organizations may also use Tribely to send emails, newsletters, renewal reminders, payment notices, membership updates, event-related communications, and other messages to Members and contacts.

3.7 Data collected automatically

When you access or use the Service, we and our service providers may automatically collect certain information, including:

·       IP address;

·       device type and identifiers;

·       browser type and version;

·       operating system;

·       referring and exit pages;

·       pages and features used;

·       dates and times of access;

·       clickstream and interaction data;

·       approximate geographic location inferred from IP address;

·       session statistics;

·       feature usage;

·       error logs and performance data;

·       cookies and similar identifiers; and

·       other technical or usage data.

We may use analytics and product-improvement tools to understand how Users interact with Tribely, improve the Service, diagnose issues, prevent abuse, and develop new features.

3.8 Information from Organizations, third parties, and integrations

We may receive Personal Data from Organizations, Members, other Users, payment providers, authentication providers, Eventzilla, analytics providers, support providers, and other third parties or integrations that you or an Organization choose to use with the Service.

For example, an Organization may import or enter a list of members, prospective members, subscribers, guests, contacts, or event attendees into Tribely and use Tribely to manage membership records, send renewal reminders, send newsletters, or validate member-only access.

 

4. Organization-controlled data and Tribely’s role

Tribely may act either as a data controller or as a data processor/service provider, depending on the circumstances.

4.1 When Tribely acts as a controller

Tribely generally acts as a controller for Personal Data we collect and use for our own business purposes, such as:

·       account creation and administration;

·       billing and subscription management;

·       security, fraud prevention, and abuse monitoring;

·       product analytics and Service improvement;

·       customer support;

·       direct communications with Organizations and account owners;

·       legal compliance; and

·       our own marketing communications where permitted by law.

4.2 When Tribely acts on behalf of an Organization

When an Organization uses Tribely to collect membership applications, manage member records, process renewals, send member communications, provide member portal access, collect member payments, validate membership status for Eventzilla events, or analyze membership activity, Tribely generally provides tools to the Organization and processes Personal Data on the Organization’s behalf.

In those circumstances, the Organization typically determines:

·       what membership plans or categories to create;

·       what member information to collect;

·       what custom fields or application questions to ask;

·       who is eligible for membership;

·       whether memberships are approved automatically or manually;

·       whether to enable renewals, trials, family memberships, group memberships, or recurring payments;

·       what member communications to send;

·       whether to use member-only event access or member pricing through Eventzilla;

·       how long to retain member records; and

·       how to use member reports, payment records, event attendance, and engagement analytics.

Members and prospective members should review the privacy notices and policies of the relevant Organization before joining, renewing, registering for an event, or submitting information through a Tribely-powered form. 5. How we use Personal Data

We may use Personal Data for the following purposes.

5.1 To provide and administer the Service

We use Personal Data to create accounts, authenticate Users, provide membership management functionality, process membership applications, manage member records, enable member portals, process renewals, deliver embedded forms and buttons, send service emails, process payments, manage subscriptions, provide reports, enable Eventzilla integrations, and otherwise operate the Service.

5.2 To facilitate Organization communications

Organizations may use Tribely to send communications to Members, prospective members, subscribers, contacts, guests, or event attendees, including membership confirmations, application updates, renewal reminders, payment notices, failed-payment notices, newsletters, event communications, member updates, and other Organization-related communications.

When we send these communications on behalf of an Organization, the Organization is responsible for the content of the communication and for ensuring it has the right to contact the recipient.

5.3 To process payments, renewals, and membership transactions

We use Personal Data to process membership payments, renewals, refunds, failed-payment retries, invoices, receipts, subscriptions, plan changes, cancellations, and related billing or tax obligations.

5.4 To provide support and respond to enquiries

We use Personal Data to respond to support requests, troubleshoot issues, investigate errors, provide technical assistance, respond to billing questions, and improve support quality.

5.5 To secure and protect the Service

We use Personal Data to detect, prevent, and address fraud, spam, abuse, unauthorized access, security incidents, violations of our terms, and technical issues.

5.6 To analyze and improve Tribely

We use usage data, analytics, product analytics, feedback, and support information to understand how the Service is used, improve performance, fix bugs, develop new features, and make the Service more useful for Organizations and Members.

We may use Personal Data to remember preferences, manage notification settings, maintain session state, customize account settings, and provide a more relevant user experience.

5.8 To communicate with you

We may use Personal Data to send administrative messages, service announcements, security notices, policy updates, billing notices, product updates, and, where permitted, marketing communications. You may opt out of marketing communications, but we may still send transactional or service-related messages.

5.9 To comply with legal obligations and enforce rights

We may use Personal Data to comply with laws, regulations, court orders, subpoenas, legal process, tax and accounting obligations, and to enforce our terms, protect rights, resolve disputes, and defend legal claims.

 

6. How we disclose or share Personal Data

We do not sell Personal Data in the ordinary meaning of that term. We may disclose or share Personal Data as described below.

6.1 With Organizations and account owners

When you join, apply to join, renew, pay for, interact with, or otherwise participate in an Organization’s membership program through Tribely, we may provide the Organization or account owner with information related to your membership application, profile, membership status, payment, renewal, communication engagement, event eligibility, attendance, and other membership activity.

An Organization may download, export, copy, or otherwise use data made available through the Service. The Organization’s use of that data is governed by the Organization’s own privacy practices.

6.2 With other members or users where enabled

Depending on the Organization’s settings and the features used, certain information may be visible to other members, administrators, staff users, or participants, such as your display name, profile information, membership status, directory listing, event participation, comments, or other information you choose to share or that the Organization configures as visible.

Organizations are responsible for configuring member-directory, portal, and visibility settings in a manner consistent with their privacy obligations.

6.3 With service providers and subprocessors

We rely on third-party service providers and subprocessors to operate, secure, support, analyze, and improve the Service. These may include providers of hosting, infrastructure, content delivery, email delivery, support tools, payment processing, analytics, product analytics, security, error monitoring, mapping, embedded video, and related services.

These providers are authorized to use Personal Data only as necessary to provide services to us or as otherwise permitted by applicable law and their agreements with us.

6.4 With payment providers

If you purchase paid services, pay membership fees, or process renewals through Tribely, we may disclose billing and transaction-related information to payment processors and financial service providers to process payments, manage subscriptions, prevent fraud, handle disputes, and comply with legal and tax obligations.

6.5 With Eventzilla and other integrations

If an Organization uses Tribely with Eventzilla or another integration, we may share information as needed to enable that integration. For example, Tribely may share membership status or eligibility information with Eventzilla to validate member-only ticket access or member pricing, and Eventzilla may share event registration or attendance information with Tribely where configured by the Organization.

If you or an Organization choose to connect Tribely with a third-party platform, embed third-party content, use a third-party payment, email, CRM, calendar, event, mapping, video, or other integration, we may share information as needed to enable that integration. The third party’s privacy policy and terms may also apply.

6.6 For legal, safety, and compliance reasons

We may disclose Personal Data if we believe disclosure is necessary or appropriate to:

·       comply with applicable law, regulation, legal process, or governmental request;

·       enforce our terms, policies, or agreements;

·       detect, prevent, or address fraud, abuse, security, or technical issues;

·       protect the rights, property, safety, or security of Tribely, Eventzilla, Users, Organizations, Members, the public, or others;

·       respond to emergencies; or

·       obtain legal, accounting, insurance, or professional advice.

6.7 Business transfers

If Eventzilla or Tribely is involved in a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar transaction, Personal Data may be disclosed or transferred as part of that transaction, subject to applicable law.

6.8 With consent or at your direction

We may disclose Personal Data with your consent or at your direction.

 

7. Membership records, communications, and shared content

Tribely may allow Organizations to enable features such as member portals, member directories, membership forms, renewal workflows, newsletters, member announcements, event access controls, and other member-facing features.

If you interact with an Organization through Tribely, your information may be visible to the Organization, its administrators, staff users, and other authorized users depending on the Organization’s settings and the feature used. For example:

·       membership applications may be reviewed by Organization administrators;

·       member profile information may be visible in a member portal or directory if enabled;

·       membership status may be used to determine access to member-only content, pricing, or events;

·       payment and renewal status may be visible to authorized Organization users;

·       newsletter and email engagement may be reported to the Organization;

·       event attendance or eligibility may be shared between Tribely and Eventzilla if configured; and

·       notes, tags, or internal fields may be used by the Organization to manage memberships.

Even after an account is terminated or content is deleted from Tribely, some information may remain available if it has already been copied, downloaded, exported, shared, synchronized with an integration, retained by an Organization, or stored in backups, archives, or legally required records.

 

8. Cookies and similar technologies

We use cookies and similar technologies to operate the Service, protect forms from spam, remember preferences, provide support functionality, embed content, measure usage, and improve the Service. Our use of cookies and similar technologies is described in more detail in the Cookie Policy below.

 

9. International transfers

Eventzilla Corporation is based in the United States. If you access or use Tribely from outside the United States, your information may be transferred to, stored in, or processed in the United States and other countries where we or our service providers operate.

Where required by applicable data-protection laws, we use appropriate safeguards for international transfers, which may include standard contractual clauses, data-processing agreements, or other lawful transfer mechanisms.

 

10. Legal bases for processing under GDPR and similar laws

Where laws such as the EU General Data Protection Regulation or UK GDPR apply, we process Personal Data based on one or more legal bases, including:

We retain Personal Data for as long as reasonably necessary to provide the Service, maintain accounts, support Organizations and Members, comply with legal obligations, resolve disputes, enforce agreements, prevent fraud or abuse, maintain security, and pursue legitimate business purposes.

Retention periods may vary depending on the type of data, the account settings, the Organization’s choices, the nature of the Service, legal requirements, and operational needs.

If you close your account or request deletion, we may delete, anonymize, or restrict certain information, subject to applicable law and legitimate retention needs. Some information may remain in backups, archives, logs, exported reports, payment records, Organization-controlled systems, or third-party platforms for a period of time.

 

12. Security

We use administrative, technical, and organizational measures designed to protect Personal Data against unauthorized access, alteration, disclosure, or destruction. Sensitive and private data exchanges with the Service are protected using industry-standard encryption in transit where appropriate.

No system can be guaranteed to be completely secure. You are responsible for maintaining the confidentiality of your account credentials and for using the Service in a secure manner.

These rights may include the right to know or access information, request correction, request deletion, obtain a copy of information, opt out of sale or sharing, opt out of targeted advertising, limit certain uses of sensitive information, and not be discriminated against for exercising privacy rights.

If we engage in activities that are treated as a sale, sharing, targeted advertising, or cross-context behavioral advertising under applicable US state privacy laws, we will provide any required notices and choices.

16. Children

Tribely is not directed to children under 13 years of age, and we do not knowingly collect Personal Data from children under 13. If you believe a child under 13 has provided Personal Data to us, please contact us and we will take appropriate steps to delete the information.

Organizations are responsible for ensuring that their use of Tribely for memberships, youth programs, family memberships, student memberships, events, or other activities involving minors complies with applicable laws and that appropriate consents are obtained where required.

 

17. Third-party links, embedded content, and integrations

The Service may contain links to third-party websites, embedded content, maps, videos, integrations, or services. We do not control third-party websites or services and are not responsible for their privacy practices. When you interact with third-party content or services, the third party’s privacy policy and terms may apply.

We may update this Privacy Policy from time to time. If we make material changes, we may provide notice by email, in-app notice, website notice, or other legally required means. The updated policy will be effective when posted unless otherwise stated.
